But the nonprofit’s employees were increasingly drowning in paperwork. Now, just a few weeks after implementing the QuickBase application developed by <a href="http://www.datacollaborative.com/">The Data Collaborative</a>, Inc., HHC has automated many of the tasks formerly done manually, freeing time for the more important hands-on work of educating and advocating for homeless children and their families, said Nathan Hutto, Director of Evaluation and Innovation, who spearheaded the project.</p>
<p>“Our center-based staff maintain case files on each family we serve; everything was on paper,” Hutto said.  Intake assessments, for example, were done by hand and employees had their own categories for basic demographic information. Such a system was fine when HHC  was founded in Boston in 1988, but today, it touches the lives of more than 2,200 young homeless children each week through its Playspaces in shelters across the state, and 175 children through its three Community Children&#8217;s Centers in the Greater Boston area.</p>
<p>After a comparative analysis of the <a href="http://quickbase.intuit.com">database applications</a> available, HHC made the strategic decision to invest in QuickBase and to engage Data Collaborative to custom-fit its application development through the <a href="http://quickbase.intuit.com/partners">Intuit QuickBase Solution Provider (QSP)</a> program. Headquartered in Arlington, Mass., Data Collaborative has been providing QuickBase application development since the product’s inception in 1999.</p>
<p>“The investment metaphor is the right one,” Hutto said. For example, assistant directors at each Center used to spend eight hours per month auditing files. The personnel costs of these routine tasks on an annual basis was more than the start-up investment in QuickBase and consulting services provided by Data Collaborative combined.</p>
<p>“Previously in our paper-based system, we couldn’t have many reports,” Hutto said. Now with QuickBase, generating quantitative data for grant proposals or donor reports is no longer a chore, but a strategic asset for the nonprofit as it seeks to continue its primary mission of preparing homeless children for school success and exploring their worlds.</p>
<p>“Using QuickBase has been a game-changer for the organization,” Hutto said.</p>
<p>How the HHC Solution was Created</p>
<p>Data Collaborative Developer Josh Shortlidge started working closely with Hutto in September 2011 to understand the organization’s current &#8212; and future – needs. They could simultaneously log into the application from their respective computers (i.e. ‘shared screen’) and talk through specific design issues by phone. Shortlidge described the collaboration as follows:</p>
<p><em>“Some of the key technical requirements were tracking students and classroom attendance, as well as the ability to generate statistical models from the data. We made an interface that the non-technical center-base staff would feel comfortable using on a daily basis. </em></p>
<p><em>Even though the application is up and running, we’re still working together to enhance its capabilities for different user groups at HHC. Nathan is now building a lot of the new functionality himself. The challenge of the project was, and still is, invigorating, thanks to Nathan&#8217;s voracious leadership!”</em></p>
<p>Twenty HHC staff members are now trained on it, Hutto said, including more than 15 who use it daily. “There was a bit of a learning curve to get all users up to speed,” he said, “but many workers had been waiting from day one for a system like this.&#8221;</p>

After nearly three months of evaluating solutions, the solution you have decided on is the most high tech, has all the best features, and is guaranteed to meet the needs of your business. Upon implementation, you are surprised at the push-back you receive from the team and some of the negative feedback you receive about the solution. What seemed like a perfect fit and something so easy to use, may now take two or three months of training and managing change for the team members to actually adopt the solution. How did this happen?</p>
<p>When evaluating new software solutions, the purchase decision usually comes down to the product that sufficiently meets the primary business needs, has the most impressive features, is both reliable and secure, and is procured for a reasonable cost. And this decision is almost never made by the end users. The factor that likely did not come up in our example above and that does not come up often enough is the end user experience.</p>
<p>User adoption is a result of simple and effective application design. If an application doesn’t enable end users to complete work easily without the technology getting in their way, users may resist change, and your application will not have the opportunity to fulfill its potential for positive impact. Unfortunately, this story is all too common. With enterprise software, the end user is often faced with unnecessarily complicated workflows, irrelevant design elements, flashy-yet-useless functionality, and developer-centric design.</p>
<p>Many companies today have unique business processes and require customized solutions. Customizable solutions also enable application designers to craft a simpler, more effective end user experience. Here are a few simple things to focus on with application design and customization that can have a dramatic effect on positive user experience:</p>
<ul>
<li><strong>Focus on the central business process. </strong>It can be tempting to try to solve for everything all at once but remember &#8211; Rome wasn’t built in a day. The end user wants to be able to complete their work quickly and easily. This can be accomplished by designing the application with their workflow in mind so there are minimal clicks, scrolling and thinking required to accomplish their work within the application.</li>
<li><strong>Put the brakes on scope creep. </strong>Often times a product is evaluated and eventually purchased based on a very simple need, but as more is learned about the capability of the new product, the scope of the new product rollout (and the amount of change required of the end user) increases. If the first iteration or version of the solution can be kept aligned to the primary goals that initiated change in the first place, end users are going to be more likely to accept and absorb the change.</li>
<li><strong>Keep it simple.</strong> For now, avoid implementing all those impressive extra features that are not mission-critical to accomplishing the main work in the application. The solution you have selected may have all the bells and whistles that you might eventually want to use, but if users don’t have a reason to use them right now, they could just end up being more of a distraction.</li>
<li><strong>Group users into like “roles” to simplify each group’s experience.</strong> Roles allow you to define custom permissions for what users can see and do in an application. Most administrators use this function for restrictive or security purposes however, savvy application designers use roles to assist with ease of use and user experience. For example, in an application for Sales and Project Management, there may be no reason to restrict a salesperson from seeing project data, but why not remove it from their main views to simplify what they see in their workflow views? <strong> </strong></li>
<li><strong>Consider design aesthetics.</strong> Users adopt and enjoy using applications that are aesthetically pleasing. Data entry forms should flow naturally in the way users actually do their job and data fields should be arranged logically. If fields exist that users do not use as part of their job or role, create separate forms for different user roles or separate sections on data entry forms to simplify their views. Likewise, dashboards and reports should only show users the data they need to see to get their work done. <p>The graphic to the left is an example of application aesthetics. Both graphics are from the same data entry form however, the graphic bordered in green is the form that end users find more aesthetically pleasing.</p>
<p>Of course, there is only so much that can be accomplished with technology to improve user adoption. Communication with the people that will use the application is the biggest driver towards ensuring their satisfaction. Thinking about the end user experience early on in the process is likely to improve the success of the implementation. Consider a proactive approach to involving end users by inviting a team lead or veteran team member in on the evaluation and design phases to be a user voice in the process. Gaining user feedback is the best way to know how the work is currently done, what works well, what could be improved, and will eventually provide indicators on how ready users are for another round of functionality after the first implementation is adopted.</p>
<p><strong>If you can customize and control the user experience in that new solution that revolutionizes the way you do business, your users will more than likely adopt it, and your implementation will more than likely be successful!</strong></p>

And within those companies, we’ve been privileged to team up with the folks who are looking to make a positive impact within their organizations – we sometimes call them change agents.  Insofar as our business is developing QuickBase solutions for project management challenges, these change agents are invariably the people who are instrumental in pushing their company forward, whether it’s by moving applications and data to the cloud, driving process improvements, or influencing old ways of thinking. These key people are not necessarily in top management. They can be at any level in a company that fosters innovation. We’ve been able to discern three characteristics that these special people have in common and wanted to share them with you:</p>
<ul>
<li><strong>Innovative but with focus. </strong>They don&#8217;t just come up with ideas, they know how to apply them as well.  Change agents are curious, experimental,      and, as we’ve witnessed with our customers, they try to apply their      discoveries to the organization’s goals.       They are not necessarily “techies,” or experts, but are more likely      generalists who have the vision of what will make a difference to the      company.</li>
</ul>
<ul>
<li><strong>Diplomatic and organizationally savvy.</strong> Rarely do      we see a good change agent who is not diplomatic. They are usually very good at working      with multiple groups and moving them forward. They usually have a good feel for what      it takes to make something happen. Often, they will combine their diplomacy with innovation to develop      a “proof of concept” to motivate and impress a cautious boss.</li>
</ul>
<ul>
<li><strong>Supercharged.</strong> Not hyperactive,      but motivated with a purpose. With persistent determination, these change      agents methodically spread their vision, achieve buy-in, and get the boss      on board.  Along the way, they learn      the rewards of patience. Even the best ideas can become better by      listening to and incorporating the input of others.</li>
</ul>
<p>We’ve learned that being a change agent is not specific to a job title or area of expertise.  No matter what their position, they have a passion to positively impact their organization, their way of working, and to embrace new tool sets and methodologies to achieve their vision.  We’ve been privileged to grow with these special clients.</p>

			<content:encoded><![CDATA[<p>We&#8217;re ecstatic to be kicking off 2012 but before we get buried in the excitement of the New Year, we want to celebrate our amazing customers and all their successes in 2011.</p>
<p>Our customers are a big part of a growing class of knowledge workers that are transforming how software is used in the enterprise. Our <a href="http://quickbase.intuit.com/blog/2011/12/13/new-report-d-i-y-enterprise-apps-hit-the-tipping-point/">recent survey</a> revealed that nearly <strong>one in five information workers has built or customized a Web app or software</strong> for work purposes without support from IT. The results of these tech-savvy innovators? Improved outcomes for their customers, increased productivity and better collaboration among coworkers. Despite this, 35 percent of businesses still do not enable and encourage employees to create solutions independently. We want to let our customers know: we&#8217;re right by your side in the quest to build solutions that are <strong>right for you and your customers</strong> and not just IT.</p>
<h2>They fueled a movement,</h2>
<p>Last year, our customers impacted the business technology landscape and their own organizations in a big way. QuickBase heroes built <strong>257,819 new apps</strong> and welcomed <strong>293,625 new users</strong> to the QuickBase community. My role at QuickBase is to help people learn how to build their dream apps and I often advise folks to start with one of our templates and customize it to meet their exact needs. Whether you’re looking for a simple solution or a sophisticated one, a template can provide you with a solid base.</p>
<p>In these videos I walk you through each of the new templates so you can get a sense for how they work. Our entire library of templates can be found by <a href="https://quickbase.intuit.com/sign-in">signing-in</a>, navigating to your MyQuickBase page, and clicking on the green “Create an Application” button. Then choose a template from the categories on the left. If you don’t see the “Create an Application” button, then you do not have app creation rights. Have no fear! All you need to do is contact your account administrator to request permissions. Here are <a href="https://www.quickbase.com/help/controlling_db_creation.html">directions</a> to help your account administrator grant you creation permissions.</p>
<p>Without further ado, here are the new templates by category. They’re listed in order of appearance in the videos below with the video tracking number so you can jump to the template you’re interested in.</p>
<h2>Sales and CRM Templates</h2>
<p><strong>1. Sales and Project Lifecycle Portal (0:56)</strong> – Many people use QuickBase for <a href="http://quickbase.intuit.com/web-based-software/sales-management-software">sales management</a> and <a href="http://quickbase.intuit.com/web-based-software/project-management-software">project management</a>, but until now we’ve never offered a template that combines the two. Many of our customers find this useful because after sales leads convert, they may need to kick off a project with that customer and its super convenient to do so without leaving their QuickBase Sales <a href="http://quickbase.intuit.com/web-based-software/sales-management-software">CRM</a> app!</p>
<p><strong>2. Order Management Portal (4:55)</strong> – Similar to Sales and Project Lifecycle Portal, this app combines two commonly-used types of QuickBase apps. Order information and management features are combined with a CRM system, to give users a holistic view of a customer account and their sales activities.</p>
<p><strong>3. Simple Contact Manager (9:12)</strong> – We offer some highly sophisticated CRM templates, such as Sales Management Portal (which can be found under the Sales template category) but we wanted to also provide you with a dead-simple contact manager. And of course, as with any QuickBase application, you can customize to your heart’s desire.</p>

<p><strong>1. Customer Service Portal (0:38) –</strong> This is the flagship of our customer service templates. This gives your customer service team full management and creation of customer support cases and could easily be customized to enable your customers to enter and track their own support cases as well. It also includes a customer survey so your support staff can continuously improve their process.</p>
<p><strong>2. Customer Satisfaction Survey (4:57) –</strong> This template can be used to administer customer or employee surveys for any transactional process on which you’d like feedback, such as customer support or sales.</p>
<p><strong>3. Customer Service Help Desk (6:30)</strong> – This template is focused on ticket tracking and can be customized for many processes including customer support, telesales or your IT help desk.</p>
<p><strong>4. Client Services Call Log (9:10)</strong> – A simple app for tracking customer calls.</p>
<p><strong>5. Simple Customer Service Tracker (9:42)</strong> – A simplified version of the Customer Service Portal.</p>

<h2>IT Management Templates</h2>
<p><strong>1. IT Asset Management (0:30)</strong> – <a href="http://quickbase.intuit.com/web-based-software/it-management-software">IT management software</a> template made for tracking and managing all the IT assets at your organization such as including a feature for tracking the depreciating value of your assets.</p>
<p><strong>2. IT Bug Tracker (2.00)</strong> – This template includes several dashboard reports that give users a high-level view of current bugs as well as features to delegate bugs to the folks who can work on fixing them.</p>
<p><strong>3. IT Project and Release Management (2:50) </strong>– View IT project status at a high-level in the project portfolio dashboard, then drill down to get to the nitty-gritty details. This app borrows many of the best customizations from our other project management templates including features for <a href="http://quickbase.intuit.com/web-based-software/project-management-software">data collaboration</a>, delegating tasks, and <a href="http://www.mint.com/personal-budget-planner/">budgeting</a>, while providing its own unique example of how project management could be tracked in QuickBase.</p>
<p><strong>4. IT Ticket Help Desk (4:05)</strong> – Customers or employees can enter tickets for your IT help desk. Users manage tickets via two comprehensive dashboards.</p>
<p><strong>5. IT Total Management Portal (4:50)</strong> – This template brings together all of the above IT management templates. It’s a one-stop-shop for your IT department.</p>

<p><strong>Here’s how to use the tool to find your QSP:</strong></p>
<p><strong><span style="text-decoration: underline;"> </span></strong></p>
<p style="padding-left: 30px;"><strong><span style="text-decoration: underline;">Step 1:</span></strong> Search for a partner by specialization, by region and/or by native language. The criteria you select will dynamically modify the list of QSP results that are returned.</p>
<p style="padding-left: 30px;"><strong><span style="text-decoration: underline;">Step 2:</span></strong> Browse the results &amp; click through on each QSP description to learn more.</p>
<p style="padding-left: 30px;"><strong><span style="text-decoration: underline;">Step 3:</span></strong> If you’re interested in being contacted by the QSP select ‘Contact Partner’ and complete the form.</p>
<p style="padding-left: 30px;"><strong><span style="text-decoration: underline;">Step 4:</span></strong> The respective QSP will receive that request directly and follow up with you to discuss your solution needs further.</p>

This is true for our sales organization, which I was recently brought on board to lead and drive positive change. I&#8217;ve been a part of many sales teams over the years and I’ve seen many sales people rise up in the ranks to become managers. I have seen both wins and failures and have studied both.  All new managers face challenges, but new managers of growing teams face an additional set of hurdles. They must engage existing employees, effectively manage change, and simultaneously avoid the challenges associated with bringing on new talent. In that spirit I wanted to share my point of view to help other newly appointed leaders avoid some common pitfalls and grow their team successfully.</p>
<p>Here are some of the risks of a team member stepping into a leadership role so you can spot them and correct your course:</p>
<h2>1. Preaching your past success like it&#8217;s gospel. <span style="font-size: 13px; font-weight: normal;">“I did it this way and was successful so you should too” is an approach that can strip your employees of the chance to add personality and style to their roles. It’s true that you’ve become a manager because your methods were successful, but this way of sharing your ideas can leave your team feeling demoralized and preached to. It sends the message that it’s your way or the highway and can take away the pride associated with employees owning their own process.</span></h2>
<h2><span style="font-size: 13px; font-weight: normal;"> </span>2. Start with the big picture. <span style="font-size: 13px; font-weight: normal;">Don’t get into the weeds of your employees’ tactical plans right off the bat. You may miss the big picture and end up with a team rowing in different directions. Work down from the strategy to ensure alignment on key objectives and then address individual plans.</span></h2>
<h2>3. Don’t overdose on the Kool-Aid<strong>. </strong><span style="font-size: 13px; font-weight: normal;">Now that you’re the <em>boss</em> you may associate more with the leadership at your organization and adopt some of their language and behaviors. While it’s important to propagate positive aspects of company culture, this doesn’t mean you should start acting like “the Man.” BE YOURSELF. Your team will respect you for it.</span></h2>
<h2>4. First impressions count. <span style="font-size: 13px; font-weight: normal;">Whether you intend to or not, you are going to build your brand as a leader early on. Getting off on the right foot is critical, so if you notice a potential issue, address it immediately and with transparency.</span></h2>
<h2>5. Customize your approach. <span style="font-size: 13px; font-weight: normal;">Understand how each person wants to be engaged. Don’t assume the way you liked to be coached and engaged is the way for each person.</span></h2>
<h2><strong>6. Avoid micro-managing. </strong><span style="font-size: 13px; font-weight: normal;">It sends a negative message to each person and tells them you do not trust them. Lead with trust always!</span></h2>
<h2>7. Watch your tone. <span style="font-size: 13px; font-weight: normal;">Tone and volume can set the stage for everything from your working relationships with employees, to your presentations and individual conversations. Since first impressions are made quickly, be mindful of this when you take on your new role.</span></h2>
<h2>8. Open up. <span style="font-size: 13px; font-weight: normal;">Let your employees get to know you. This helps establish a more efficient rapport and opens the door for your employees to give you feedback, collaborate with you, and ultimately, help the team innovate.</span></h2>
<h2>9. Slow down to speed up. <span style="font-size: 13px; font-weight: normal;">Don’t try to assert yourself as the new leader by force because it probably won’t work. Before you can be an effective leader, you must earn your employees’ respect and trust, which happens on its own timeline. It’s your job to sense when that shift happens then begin to ramp up your expectations on the team.</span></h2>
<h2>10. Don’t be a bull in the china shop. <span style="font-size: 13px; font-weight: normal;">Be mindful of existing process your new team has in place   and likewise, the process your newly hired team members are bringing with them from previous experience. Chances are these processes are important or at least a part of how they currently do their jobs, so by demanding changes right off the bat, you may be causing frustration and churn.</span></h2>
<p>My final word to new leaders, whether new to a company or stepping into a leader role for the first time, is to play the student role for the first 30 days. Listen and learn first to avoid early missteps. Get to know the people in the organization, what they do and how they factor into the bigger picture. Get to know your team members and understand their direction and objectives. Every great leader I have ever worked with took the time to build relationships with the people doing the work. These days, users also view access to online services from their smart phones and tablets as an unalienable right. Whether it’s a busy executive trying to squeeze in that one last email before the flight attendant asks him to switch off his phone or a multi-tasking mom-preneur approving an expense report from her iPad while taking her kids for ice cream (both of which have happened to me), our users’ lifestyles demand 24/7 service from any device.</p>
<p>These expectations of access from any device, anytime, anywhere, pose some interesting challenges for SaaS, PaaS vendors. Simply put, they raise the bar.</p>
<p>“Service anytime and anywhere” has been a key tenet for the SaaS, PaaS industry since its inception. Over the years, vendors have made significant investments in their technology, infrastructure and operations to improve the availability, scalability and resiliency of their services so they can be accessed via the web 24/7. High availability architectures deployed across multiple data centers combined with advanced monitoring systems and operational rigor are essential for delivering on this promise. But to effectively deliver on the “any device” promise, SaaS and PaaS vendors now have to adapt their architecture, product development, and delivery processes to meet user needs and expectations.</p>
<h2>Considerations Before Launching a SaaS Mobile Offering</h2>
<p>As a vendor enabling the “any device” capability, here is a set of key questions to consider before you embark on the journey of making your service truly ubiquitous. Feel free to add additional suggestions in the comments below.</p>
<ul>
<li>What features do customers need most access to from their mobile device?</li>
<li>Which product workflows have to be tweaked to make them mobile friendly?</li>
<li>Do you need to leap ahead and build a native client? Or will a web optimized mobile version suffice?</li>
<li>How can you leverage device-specific sensors to further enrich the user experience?</li>
<li>Do you need to rethink your UX design to keep users engaged on a mobile device?</li>
<li>What is the current service oriented architecture strategy for your platform? Does the architecture lend itself well to add on these additional service APIs required for mobile access?</li>
<li>Do we need to augment the current architecture with middleware solutions?</li>
<li>How do you scale your development, build and browser certification processes?</li>
<li>What are the adaptations needed in your service delivery and support processes to help customers resolve access issues from any device?</li>
</ul>
<p>I recently attended a conference held by Intuit on designing and delivering compelling mobile solutions. Several distinguished technologists from industry stalwarts including eBay, Netflix and Qualcomm, shared their ideas and best practices. With the near-saturation of smart phone technology and rapid adoption of tablets in enterprises for improved productivity, several platform vendors are evolving their strategy to meet the demand. Needless to say, the next decade holds much promise for mobile platforms and solutions that further improve work productivity.</p>

			<content:encoded><![CDATA[<p>QuickBase just completed an SSAE 16 audit for 2011! Woohoo! But what does this mean? It means independent auditors assessed QuickBase and issued an industry-standard report providing assurance to our customers that QuickBase has policies and procedures in place to protect their data and applications. This is especially important for QuickBase because many of our customers use our platform for business-critical apps. It also means that customers can rely on the information in this report instead of having to conduct their own audits.</p>

<p>You may have noticed the SAS 70 logo on our website in the past – this is because we’ve asked a third-party to audit QuickBase since 2009. This year the organization responsible for setting SAS 70 audit guidelines, <a href="http://www.aicpa.org/Pages/Default.aspx">The American Institute of Certified Public Accountants</a> (AICPA), superseded SAS 70 with SSAE 16, which is designed to bring U.S. service organization reporting up to date with international standards. What’s the difference between SAS 70 and SSAE 16? Basically, SSAE 16 doesn’t allow companies to use previous audits towards new reports and company management must provide an attestation that the documentation they provide to auditors is accurate.</p>
<p>In both SAS 70 and SSAE 16 examinations, QuickBase provided the third-party auditor with information about a wide variety of things from policies about background checks for prospective employees, to redundant power systems and access restrictions at our data centers, and encryption of our data. This year’s SSAE 16 examination also involved an onsite visit to our Waltham headquarters as well as a visit to our Quincy Data Center in late June 2011. These visits included inspections of the physical and environmental security at our facilities, back-up procedures, server and network operations, information security, and change control processes and procedures. The auditors also examined information we provided about these systems in order to verify that our descriptions are fair and accurate and that the controls we have in place achieve their intended purposes.</p>
<p>We’re pleased to report that the auditors found “no exceptions” during their testing, which means they can verify that QuickBase does what it says it will do! We are happy to share the detailed SSAE 16 report with customers who sign a Non-Disclosure Agreement with us.
